WhatsApp Follow-Up Message Templates for Indian Sales Teams
Ready-to-use WhatsApp follow-up templates by pipeline stage — first contact, post-demo, quotation sent, re-engagement and closing. Copy, personalise, and use immediately. No sign-up required for the templates.
- 1. Pick the template that matches your pipeline stage (first contact / post-demo / quotation / re-engagement)
- 2. Replace the placeholders in [brackets] with the lead's real details
- 3. Keep it short — 2–4 sentences; cut anything that doesn't add value
- 4. End with one question — not a paragraph of options
- 5. Send promptly — first-contact messages work best within 5 minutes of the inquiry
Before you copy-paste — what makes a WhatsApp follow-up work
Use their name and reference their inquiry
'Hi Vikram, I saw your IndiaMart enquiry about stainless steel fittings for your Delhi factory' outperforms 'Dear Sir, thank you for your enquiry' by every measure.
Keep it under 5 lines
WhatsApp is a personal channel. A paragraph of corporate text signals you copied and pasted. Two conversational sentences feel genuine. Short messages get read; long ones get scrolled past.
Speed is the biggest lever
The lead who messaged five suppliers will mostly go with the one who replied first with something useful. An auto-WhatsApp within 5 minutes of inquiry beats a perfect message 6 hours later.
End with one specific ask
'Can I call at 11 am?' is better than 'please let me know a suitable time'. Specific asks lower friction. Multiple questions in one message reduce response rate.

Go further: automate your WhatsApp follow-up sequences
Copying templates into WhatsApp manually is a start. But at 30+ leads a day, you need automation. A WhatsApp CRM like 3Sigma lets you:
Save templates in the CRM
Store your best follow-up messages as quick-reply templates. Send any template in one tap from the lead's WhatsApp chat — no typing, no errors.
Auto-send first message within 5 minutes
New lead arrives from IndiaMart or Facebook → automation fires a WhatsApp template within 5 minutes — even at midnight. First-responder advantage, automatically.
Build multi-day sequences
Set up day 0 → day 1 → day 3 → day 7 sequences. The CRM sends each message at the right time and creates call tasks for steps that need a salesperson.
Track every follow-up in one dashboard
The follow-up dashboard shows overdue follow-ups across the team. Manager can see who has 20 leads waiting and hasn't followed up in 3 days.
WhatsApp follow-up templates — FAQs
Can I use these WhatsApp follow-up templates in my business?
Yes, these templates are free to copy and customise. Replace [Name], [Product], [Price], [Your Name] and [Company] with your actual details. The more specific you make them to the lead's actual inquiry, the better they work — generic messages get ignored. For bulk automated sending via the WhatsApp Business API, templates need Meta approval first; for individual manual messages, you can use any message text.
How long should a WhatsApp follow-up message be?
Short. 2–4 sentences maximum. WhatsApp is a personal channel — long paragraphs feel like spam. The message should: (1) reference something specific to them (their enquiry, product, location), (2) say what you want to share or offer, (3) end with one clear question. If you need to share details, send them as a PDF or link — not in the message body.
How many times should I follow up on WhatsApp before stopping?
5–8 touchpoints over 14–21 days is a reasonable sequence. Space them out: day 0, day 1, day 3, day 7, day 14, then one final 'breakup' message. Each message should come from a different angle — don't send the same 'just following up' six times. After 6–8 attempts with no response, move to cold and schedule a re-attempt in 30–45 days. Some Indian buyers take longer to decide — a follow-up in 30 days sometimes converts what day-14 didn't.
Do WhatsApp follow-up messages get flagged as spam?
Messages to people who opted in (gave you their number or messaged you first) are almost never flagged. Messages to cold numbers you bought or scraped will get flagged and can get your number banned. Rule: only message WhatsApp numbers you got through a legitimate business interaction — inquiry form, portal lead, business card, WhatsApp conversation, event. If the person messaged you first, you're always safe to reply.
Should I use formal or informal Hindi/English in WhatsApp follow-ups?
Match the lead's language from their first message. If they wrote in English, reply in English. If in Hindi, Hindi. If in Hinglish, Hinglish. For high-ticket B2B (manufacturing, real estate commercial), more formal English. For local consumer products, friendly Hinglish often converts better than stiff corporate English. Use the lead's name — it's the single biggest conversion improvement in any follow-up message.
Can I automate these WhatsApp follow-up templates?
Yes, with the WhatsApp Business API and Meta-approved templates. You set up automation rules in your CRM — 'when a new lead arrives, send template X after 5 minutes' — and the approved message goes out automatically. Manual messages from the WhatsApp Business App can't be automated. In 3Sigma, you can build multi-day sequences that trigger these messages automatically and create call tasks for the steps that need a salesperson.
What is the best first WhatsApp message after a lead inquiry?
Fast, specific, and low-friction. 'Hi Priya, I saw you enquired about our insurance policy on JustDial. I'm Rajan from [Company]. Would you be free for a 10-minute call at 11 am today to understand what coverage you're looking for?' This works because it: uses their name, references their specific inquiry and source, introduces you briefly, and asks for one specific thing (a 10-minute call at a specific time).
What is a WhatsApp breakup message?
A breakup message is the final follow-up in a sequence — it tells the lead you'll stop reaching out. Example: 'Hi Arvind, I've reached out a few times but haven't heard back. I'll take this as you've found another solution — no worries at all. If you'd like to reconnect in future, I'm here. Best, Rajan.' Paradoxically, breakup messages often get a response — the lead feels the 'loss' of the relationship and replies. Even if they don't, you end cleanly and can re-approach in 45 days.
Save these templates in your CRM — and automate the sending
3Sigma lets you store WhatsApp templates, send in one tap from any lead, and automate full multi-day follow-up sequences — so every lead gets followed up on time, every time.
