Move Your Excel Leads to WhatsApp CRM — Same Day, Zero Loss
Export your sheet as CSV, import into 3Sigma in minutes, and start following up on WhatsApp and by phone today. Every lead in one place — pipeline, shared inbox, auto-dialer, quotations. No more chasing rows in a spreadsheet.
The Excel lead problem every Indian SMB knows
Suresh Patel runs an AC installation business in Ahmedabad. His team maintains a shared Google Sheet — 300+ leads from IndiaMart, Facebook and JustDial. Every morning, one person updates the status column. Every evening, someone else overwrites it. WhatsApp replies happen on personal phones. Calls are on a separate SIM, unlogged. Nobody knows who called whom.
The sheet looks organised. The sales process isn't. Leads fall through because nobody owns the follow-up. Good leads go cold because the sheet doesn't send a WhatsApp message on day 2.
Excel / Google Sheets
- • Status updated manually — often outdated
- • WhatsApp replies on personal phones, no shared history
- • Calls done separately, never logged
- • Follow-up depends on memory — leads go cold
- • No pipeline visibility for managers
- • No quotation linked to the lead
3Sigma WhatsApp CRM
- • Import your sheet in minutes — all leads live in CRM
- • Shared WhatsApp inbox — full team, one number
- • SIM auto-dialer logs every call automatically
- • Multi-day WhatsApp follow-up runs by itself
- • Pipeline stages visible to the whole team
- • Quotation created from the lead in 2 taps
How to migrate from Excel to 3Sigma — 4 steps
Most teams are live on the same day. No developer needed, no data loss.
Prepare your Excel or Google Sheet
Make sure you have at minimum Name and Phone columns. Add Status, Source, City, Notes columns if you have them. Remove blank rows. If a phone number appears more than once, keep the most recent entry — 3Sigma's import deduplicates on phone number. Export as CSV.
Import the CSV into 3Sigma
Open 3Sigma CRM (web or Android), go to Leads → Import, upload the CSV and map each column to the right lead field. You can map to standard fields (name, phone, status, source) or to custom fields you create for your business. Hit Import — leads appear in seconds.
Start WhatsApp follow-up immediately
The imported leads appear in your pipeline. From the shared WhatsApp inbox, your team can reply to any lead or send a WhatsApp broadcast to the newly imported list. Set up a multi-day follow-up automation: WhatsApp on day 0, a call task on day 2, a reminder on day 5 — and it runs for every imported lead.
Run the SIM auto-dialer on the imported list
Use 3Sigma's auto-dialer to call through the imported list back-to-back on your agent's SIM. Every call auto-logs with duration and outcome. After each call, an after-call popup lets you update the lead status and schedule the next WhatsApp. You'll get through more calls in the first day than in the previous week.

What your team gains on day 1
The import itself is 20 minutes. The real gain is what happens to those leads after they land in the CRM.
Shared WhatsApp inbox
The whole team replies from one verified business number. Full chat history is visible to every agent — no more 'which phone did we talk to them on?'
Auto-dialer on the imported list
Run through the entire imported list using the SIM auto-dialer. Every call auto-logged — duration, outcome, notes. Nothing manual.
Multi-day follow-up automation
Set a follow-up sequence for imported leads and let it run — WhatsApp messages, call task reminders and status nudges without any daily admin.
Pipeline with stages
Move each lead through custom stages. The whole team sees who's at 'Quoted', 'Negotiation' or 'Won' — no more status battles in the spreadsheet.
Works on Android, no laptop
Field agents, telecallers and the owner all use the same CRM from their phones. No need to open a laptop to check who called a lead.
New leads in CRM, not Excel
Set up IndiaMart, JustDial and Facebook integrations — new leads go directly into the CRM, not a spreadsheet that gets downloaded and emailed around.
After migration: stop new leads going into Excel at all
Migrating old data solves the immediate problem. The lasting fix is connecting your lead sources so new leads go directly into 3Sigma — no download, no copy-paste, no spreadsheet in the middle.

FAQs — Excel to WhatsApp CRM migration
How do I migrate my Excel lead list to a WhatsApp CRM?
Export your Excel sheet as a CSV file. In 3Sigma CRM, go to the import section, upload the CSV and map your columns (name, phone, status, source etc.) to 3Sigma's lead fields. Within minutes, every contact is in the CRM with its history — ready to follow up on WhatsApp or by call. No data is lost.
What columns do I need in my Excel file before importing?
At minimum: Name and Phone number (mobile). Useful extras: Status (new/hot/warm etc.), Source (IndiaMart/Facebook etc.), Notes, and any custom fields specific to your business like product interest or city. Clean up duplicates and blank rows first — dedup runs on import but a clean sheet speeds things up.
Can I import from Google Sheets as well?
Yes. Export your Google Sheet as a CSV (File → Download → CSV) and import it the same way as Excel. 3Sigma also has a Google Sheets integration that can automatically push new rows as leads — so future entries don't need a manual import.
What happens to my leads after import — will WhatsApp follow-up work immediately?
Once imported, every lead is live in the CRM. You can reply to leads directly on WhatsApp from the shared inbox, trigger WhatsApp broadcasts to the imported list, or set up a follow-up automation that sends WhatsApp messages at day 0, day 2, day 5. Calling works immediately — use the SIM auto-dialer to run through the imported list.
What if my team updates the Excel sheet every day — do I have to re-import each time?
Daily re-import is the manual way. The better approach: set up the source at the lead capture stage — Facebook Lead Ads, IndiaMart, Google Lead Forms — so new leads land in the CRM automatically and never go into a spreadsheet at all. For existing operations, 3Sigma's Google Sheets integration auto-syncs new rows.
Can I keep my old lead history (notes and call records) when migrating?
If your Excel sheet has a Notes column, those notes import with each lead. Call records from a separate dialler system may need to be exported and re-attached manually — the import handles structured CSV data. Going forward, 3Sigma auto-logs every call so history builds automatically.
