    • Variable use is more flexible than authentication
    • Lower per-message cost than marketing

    • Body is mostly fixed (Meta provides a standard OTP template)
    • Has an automatic copy-code button
    • Cheapest per-message cost

    Most common rejection reasons — and fixes

    Priya at a Jaipur real estate firm submitted 12 templates in one go — 9 were rejected. Almost all had the same three problems: promotional tone, no opt-in context, and missing variable samples.

    No opt-in context for marketing

    Fix: Add context: 'You asked for updates when you filled out our form. Here's your offer.' Meta needs to see that the recipient opted in.

    Overly promotional language

    Fix: Avoid ALL-CAPS, multiple exclamation marks, 'URGENT', 'LIMITED TIME'. Write like you'd send to a known contact, not a cold audience.

    Missing variable examples

    Fix: Every {{1}} placeholder needs a realistic sample value in the submission form. Don't leave them blank or write 'EXAMPLE'.

    Wrong category

    Fix: If your template sends an OTP it must be Authentication. If it's a payment reminder it should be Utility, not Marketing. Wrong category = instant rejection.

    URL in body not on approved domain

    Fix: Links must be to a domain registered in your Meta Business Manager. Bit.ly, unknown redirect URLs, or domains not linked to your account are rejected.

    Header + body looks like bulk spam

    Fix: Avoid templates that are clearly designed to fire to thousands of cold contacts. Personalise with a variable in the header (the customer's name) and use a natural, conversational tone.

    How to write templates that get approved

    Pick the correct category first

    Before writing a single word: is this message promotional (Marketing), transactional/service-related (Utility), or an OTP (Authentication)? Pick wrong and it's rejected before Meta reads the text.

    Write like you're messaging a known contact

    Conversational, not broadcast. 'Hi Vikram, your policy renewal is due on 15 August' reads as a personal service message. 'URGENT! RENEW NOW! DON'T MISS OUT!' reads as spam.

    Every variable needs a realistic sample

    Meta reviewers fill in your samples to check if the message makes sense. If {{1}} has no sample, or the sample is 'XYZ', they'll reject it. Use real names, real amounts, real dates.

    Keep CTA buttons specific

    A 'View my quote' button to a known domain passes. 'CLICK HERE' on a bit.ly link fails. Button text should describe the action, and the URL must be on a domain in your Meta Business account.

    Even after approval, send to 5–10 known contacts first. If several block or report the message, Meta will pause the template. High block rates on a new template lead to account restrictions.

    In Meta Business Manager, approved templates show a quality rating (green/yellow/red). Yellow = warning, red = paused. If a template's quality drops, stop sending it and audit whether your audience actually opted in.

    Meta typically reviews templates within a few minutes to 24 hours for most categories. Marketing templates with new header/body combinations may take longer if they're flagged for manual review. Utility and authentication templates with straightforward use cases are usually approved within minutes.

    Why was my WhatsApp marketing template rejected?

    Common reasons: promotional language without an opt-in context ('BUY NOW! LIMITED OFFER!'), missing or unclear variable examples, the header and body together look like spam, template contains a URL to an unknown domain, or the category doesn't match the content. Review the rejection reason in your BSP dashboard and revise accordingly.

    What is the difference between marketing, utility and authentication templates?

    Marketing templates promote products or services (offers, announcements, catalogue shares). Utility templates confirm transactions or provide service updates (order confirmation, appointment reminder, payment receipt). Authentication templates send one-time passwords (OTPs).     Can I edit a rejected WhatsApp template?

    Yes. You can edit the template body and re-submit for approval. The template name stays the same but Meta reviews it again from scratch. You cannot change the template name or category after submission — for a category change you need to create a new template.

    What variables (placeholders) are allowed in WhatsApp templates?

    Variables use the format {{1}}, {{2}}, etc. The header can have one variable. The body can have multiple. Every variable needs a sample value when you submit — Meta uses this to understand what the variable will contain. Variables in authentication templates are restricted to OTP codes.

    Can I send promotional messages on WhatsApp without a template?

    Only within a 24-hour customer service window that the customer opened by messaging you first. Outside that window, all outbound messages must use an approved template — even if it's a simple follow-up. This applies to the WhatsApp Business API; the WhatsApp Business App (for personal/small use) has different but also limited broadcast rules.

    Do WhatsApp templates expire?

    Approved templates don't expire — but Meta can pause or reject them retroactively if the template starts getting blocked (thumbs-down) by recipients. A template with a poor quality rating is paused first, then disabled if quality doesn't recover. Keep an eye on your template quality in the Meta Business Manager.
