    Most issues happen in the first 24 hours after setup. Here's what to check for each one.

    Chat history not syncing after setup

    Common

    Likely causes

    • Sync still in progress (large accounts take up to 30 minutes)
    • Chat is older than Meta's sync limit (~6 months)
    • Phone's internet was interrupted during the initial sync

    Fixes

    • Wait 30 minutes after Coexistence setup before expecting all history
    • Check your phone's connection — the sync needs a stable internet connection
    • Older history stays in your phone app; it won't come into the CRM
    • New messages after setup sync in real time — focus on those

    Duplicate messages in app and CRM

    Occasional

    Likely causes

    • Normal during the first 1–2 hours after setup
    • Two API connections to the same number (should never happen — check with your BSP)
    • App and CRM both have the number connected as a WABA

    Fixes

    • Wait 2 hours — brief duplication after setup is expected
    • Check your Meta Business Manager: the number should have exactly one API connection
    • If it persists, contact your BSP (3Sigma support) — two live WABA connections to one number need to be resolved at the API level

    Can't use the phone app anymore after connecting to CRM

    Misunderstanding

    Likely causes

    • Confusion between WABA-only setup (no phone app) and Coexistence setup
    • Wrong connection method chosen during onboarding

    Fixes

    • If you used the Coexistence (Embedded Signup) method, your phone app should still work
    • If you see 'multi-device' or 'linked device' in your WhatsApp app, Coexistence is active
    • If the app shows your number as migrated to API-only, contact support to check if Coexistence can be enabled for your account

    Agent app chats not appearing in the shared CRM inbox

    Common

    Likely causes

    • The chat was opened in the phone app and not yet assigned in the CRM
    • The contact was messaged first from the phone, not via the CRM inbox
    • Inbox filter is hiding unassigned chats

    Fixes

    • Check the 'All' or 'Unassigned' filter in the 3Sigma inbox — the chat may be there unassigned
    • Chats started from your phone app sync in but may come in as unassigned — assign them from the inbox
    • For chats you need the team to handle, reply from the CRM inbox going forward so the assignment sticks

    Notifications stopped on the phone after Coexistence

    Expected

    Likely causes

    • CRM is now the primary inbox for assigned chats — WhatsApp app won't notify twice
    • Phone notifications are normal for chats you handle personally from the app

    Fixes

    • Enable push notifications in the 3Sigma mobile app — this replaces WhatsApp app notifications for CRM-assigned chats
    • For personal chats (not sales leads), WhatsApp app notifications still work normally
    • Use the 3Sigma mobile app as your primary notification centre for sales leads

    How Coexistence actually works — the mental model

    The source of most confusion: people expect Coexistence to be "mirror everything." It's not — it's a split. Meta routes some messages through the API (which the CRM uses) and the phone app stays connected as a linked device. Think of it like this:

    What is WhatsApp Coexistence?

    WhatsApp Coexistence lets you connect your existing WhatsApp Business App number to a CRM like 3Sigma — so your team can manage leads in the CRM while you keep using the phone app on your personal device. Your existing contacts and chat history sync into the CRM on setup. No new number required.

    Why isn't my old chat history showing in the CRM after Coexistence setup?

    History syncs in on initial connection, but only the most recent chats come in (typically up to 6 months or the last 1,000 messages, subject to Meta's sync limit). Older chats remain in your phone app. New messages after setup sync in real time. If recent chats are missing, check that the sync completed — it can take up to 30 minutes for large accounts.

    I'm getting duplicate messages — the same chat appears in both the app and the CRM. Is that normal?

    During the transition period after Coexistence setup, messages can appear in both places briefly. Once the system stabilises (usually within 1–2 hours), the CRM becomes the primary for team-assigned chats and the app stays as your personal view. If duplicates persist for more than 24 hours, check whether your agent app is also connected as a WABA — two API connections to the same number will cause persistent duplication.

    Can I reply from both the phone app and the CRM at the same time?

    Yes — that's the point of Coexistence. You can reply from your phone as usual; those replies sync into the CRM timeline. Your team can also reply from the CRM shared inbox. The only caution: if two agents (one in the app, one in the CRM) reply to the same lead simultaneously, both replies go out. Assign leads clearly to avoid that.

    My notifications stopped working after Coexistence setup. How do I fix it?

    The CRM now handles incoming messages. Push notifications from the WhatsApp Business App may reduce or stop for chats that are assigned to the CRM inbox. Ensure you have notifications enabled in the 3Sigma mobile app. For chats you're personally handling from the phone, you'll still get WhatsApp notifications for those specific conversations.

    A contact I can see in the phone app isn't appearing in the CRM. Why?

    Contacts sync in at setup, but new contacts added directly to the phone app after setup may not auto-create a lead in the CRM. You can manually create a lead in 3Sigma or use a web form / lead capture integration for new contacts. WhatsApp-initiated chats (where the customer messages you first) will auto-create leads in the CRM inbox.
